How is RPS this affordable compared to ADP or Wagepoint?
Low overhead, owner-operated, purpose-built platform. We don’t have a sales team on commission. We don’t license someone else’s software. We built our own platform and keep our costs low — so we can keep your costs low.
For context: self-serve payroll software like Wagepoint or QuickBooks runs $40–100 per month for a 10-person team, and you do all the work yourself. Full-service through an accounting firm runs $200–600+. We give you full-service managed payroll — someone else handles everything — in the $65–100 range. Same accuracy. Fraction of the cost.

What does 'starting at $10 per pay' actually mean?
$10 is the per-run base fee for the simplest payrolls. On top of that, there’s a per-employee fee for each person on that pay run.
Your total depends on team size, pay frequency, and complexity. A typical 10-person biweekly business pays $65–100 per month. A 5-person trades crew is usually $45–70.

Why can't I just keep using QuickBooks?
You can. QuickBooks Payroll means you run payroll — entering hours, checking rates, filing remittances, generating T4s, tracking ROEs. If that’s working and you don’t mind doing it yourself, that’s a perfectly fine choice.
If you’d rather hand it off and never think about it, that’s what we do. You email us your hours, we handle everything else — calculations, deductions, deposits, CRA filings, pay stubs. No software to learn, no deadlines to track.
And for most small businesses, we’re comparable in price to QuickBooks Payroll — except you don’t do any of the work.

Do I sign a contract?
No long-term contracts. Month-to-month. If we’re not earning your business every cycle, you should be free to leave.
We’ll send you a short engagement letter outlining what we do and what it costs — so everything is clear in writing. But there’s no lock-in, no cancellation fee, no penalty for walking away.
Most of our clients have been with us for years. Not because they’re locked in, but because the service works.

I'm currently with ADP (or Wagepoint, or my bookkeeper). How hard is it to switch?
We handle the migration. Send us your last few pay stubs and your current employee list — we take it from there.
We’ll set up your employees in our system, verify the year-to-date numbers, and run your next pay cycle on schedule. Most switches are done in about a week, with no disruption to your employees’ pay.
If you’re coming from ADP, Wagepoint, or another provider, we’ve done this transition before. If your bookkeeper currently handles payroll, we’ll coordinate with them to make the handoff clean.

What if I have a question between pay cycles?
Email or call. You reach a real person who knows your account — not a ticket queue, not a chatbot, not a 45-minute hold time.
Most questions are answered the same day. That’s the managed-service difference: you’re not searching a help centre or watching a tutorial video. You’re talking to someone who already knows your business.

Do you do bookkeeping or HR too?
No. We do payroll — really well. Bookkeeping, HR consulting, benefits administration, and tax prep aren’t part of our service.
Need a partner for that? We’ve worked with some good people over the years and we’re happy to make an introduction. We’re a complement to your accountant, not a replacement.

Do you work with Quebec businesses?
Not currently. Ontario only.
Quebec has a separate provincial tax system — Revenu Québec — with its own rules for source deductions, RL-1 slips (instead of T4s), and CNESST (instead of WSIB). It’s a meaningfully different compliance environment.
We may expand to other provinces in the future, but Quebec’s complexity makes it a separate project. If you’re in another province outside Quebec, get in touch — we may be able to help.

How do I pay RPS?
We invoice after each pay run, or monthly — your choice. PAP auto-debit is available if you’d rather not think about it.
No upfront deposits. No annual prepayment. No setup fees that cost more than your first month of payroll. You pay for the service as you use it.
CRA & Ontario compliance

How do you handle CRA remittances?
We calculate and file them every cycle, on time, every time. A decade of payroll, zero CRA penalties.
We track CPP, CPP2, and EI rate changes, remittance thresholds, and filing deadlines. Your remittance frequency — monthly, twice-monthly, or threshold-based — is determined by CRA based on your withholding history. We manage whichever schedule applies to you.
You don’t file anything. You don’t track deadlines. We handle it.

Can you handle seasonal workers and ROEs?
Yes — this is one of our strengths. We have farm clients who go from 8 year-round workers to 150+ at harvest.
We handle the onboarding waves — 50 workers in two weeks if that’s what the season demands. We run weekly payroll at peak. We process the expense reimbursements. And when the season ends, we file the ROEs in bursts.
LMIA and temporary foreign worker payroll rules? We know them. This isn’t our first harvest.

Where is my data stored?
Canada. Our platform runs on servers in Toronto. Your payroll data — employee SINs, bank accounts, pay history — never leaves the country.
Canadian-owned. Canadian-hosted. PIPEDA-compliant. No data sharing with third parties. No offshore processing. No fine print.

Do my employees get digital pay stubs without logging into a portal?
Yes, every cycle. Your employees get clean, professional digital pay stubs delivered automatically after each pay run.
At year-end, T4s are accessible digitally too. No paper unless you specifically want it.
The stubs look professional and reflect well on your business — which matters more than most people think.
