Privacy Policy
How we handle your information.

What Information We Collect
Website visitors: If you fill out a contact form, we collect your name, email address, phone number, business information, and message. We also collect anonymous website usage data through Google Analytics 4 (GA4), but only after you explicitly consent via our cookie banner.
Clients: For payroll processing, we collect employee information including Social Insurance Numbers (SINs), bank account details, pay history, TD1 forms, and other information required to process payroll and file with CRA.
Why We Collect It
- Service delivery: To process payroll accurately and file required documents with CRA on your behalf.
- Communication: To respond to inquiries, prepare quotes, and follow up on leads.
- Website improvement: To understand how visitors use our site and improve the experience (analytics data only, with consent).
How Long We Keep It
- Lead form submissions: 24 months, then automatically deleted.
- Client payroll data: Retained for the duration of the client relationship plus 6 years, as required by CRA for payroll record retention.
- Analytics data: Retained per Google Analytics default retention settings.
Who We Share It With
Nobody. We do not sell, rent, or share your personal information with third parties.
Exception: CRA, as legally required for payroll remittances, T4 filings, and other statutory obligations. Your payroll data is processed only by RPS staff for the purpose of delivering the service.
Canadian Data Residency
All data is stored on servers in Canada (Toronto region). Your information — including employee SINs, bank account numbers, and pay history — never leaves the country. Canadian-owned, Canadian-hosted.
Cookies and Analytics
We use Google Analytics 4 (GA4) for anonymous website usage data. GA4 only loads after you explicitly consent via our cookie banner. No tracking cookies are set without your permission. We use localStorage to remember your consent preference — this is not a cookie and contains no personal information.
Your Consent
By using our website, you consent to the collection of information as described here. You can withdraw consent for analytics tracking at any time by clicking “Cookie preferences” in the site footer. For client data, consent is part of the service engagement letter.
Access, Correction, and Deletion
You have the right to request access to your personal information, correct inaccuracies, or request deletion. Contact us at kyle@realpayrollsolutions.ca. We will respond within 30 days.
